Dedicated

InPhase is dedicated to Chiropractic. Why is that important? Software by its nature is always evolving. We do our best to see what the future has in store for us in terms of technology and in healthcare. As we work towards our vision of the ultimate Chiropractic software, we are not hindered by commitments or regulations of other specialties. We look to see what affects Chiropractors and what we can do to help Chiropractors. We are not spending a minute of time or a penny of money to accommodate obstacles like changes in prescription drug regulations.

The other benefit of dedication is the overall software design. The business of Chiropractic is completely different than the business of other healthcare providers. Patient volume, revenue per visit, marketing, retention, these are all things that require a completely different approach. Software sold to multiple healthcare segments is typically either medical software being sold to a chiropractor (which runs like medical software) or it is software that was “designed by committee” to work for both… ultimately not working well for either.

Speed

Speed is an issue for Chiropractic software on many levels. How quickly can you enter data? Make appointments, enter services, follow up with patients, handle the billing, or post claims? How quickly you can move around in the software? Can you quickly jump from adding a new patient to check someone out and then back again right to where you were? The reality is this: today’s Chiropractic environment demands efficiency not expected or available just a few short years ago. This is the level of efficiency you can expect InPhase to deliver.

Ease of Use

How easy is the software to learn? How easy is the software to use on a daily basis? How easy is it to teach someone to fill in at the front desk and not mess up patient balances or the practice billing for months to come? We have designed software for over twenty years. And when it comes to making software user friendly, there is no better teacher than experience. And from this experience we have discovered that as brilliant as programmers are, they don’t necessarily share the same idea of what is easy or not with the rest of the world. For this reason, the people who design our software not only have a considerable amount of experience designing software, but also - like you - they have spent a considerable amount of time in the trenches (i.e. behind the front desk of a busy chiropractor’s office).

Safety Features

How would you feel riding around in a car with a new driver… and no insurance, seatbelts, airbags, or antilock brakes? Pretty scary, huh? Yet time after time Chiropractors put new staff at the front desk with little to no training… and no such safeguards. Over the years we have learned all too well the problems that staff turnover create for our clients. It is not unusual for an office to experience a significant downturn during such transitions… especially in higher volume practices. This is often most dramatic in new offices where the original staff had the benefit of learning at a slower pace before the practice grew. Staff members who come in after the fact don’t get that luxury… often experiencing significant frustration because job expectations may be too high. With this scenario in mind, we have developed several features in the InPhase software to help through these periods of transition. For that matter, they are also designed to help existing staff juggle all of the tasks without letting patients or money slip through the cracks. These are just a few areas with such features in mind.

Billing Accuracy

Billing in the Chiropractic profession can be quite complex and it is getting harder everyday. Yet InPhase allows an office to use an incredibly flexible array of business rules to simplify this task. When it comes time to checkout a patient at the front desk, all the new CA needs to know is what services were rendered. A 1 to 2 level adjustment? Great. The software will handle all of rest. She didn’t have to know a single thing about payment plans, tiered billing, prepaid visits, covered services, non-covered services, deductibles, allowed amounts, copays, CPT codes, modifiers, and more. Feeling much safer already, huh?

Retention

When dealing with either new staff or a higher volume, patient retention is often the first thing to be neglected… and that’s not safe at all. With the InPhase software you can sleep comfortably knowing that your patients are in good hands: yours and ours. The InPhase BlackHole List will show you any patients who have missed an appointment, left without a future appointment (the more difficult to catch), or were scheduled to be called at some point in the past. Any notes made during your recall efforts will be saved in the patient history. Also, even though your new staff may not know that Mr. Johnson hates to be called at home, or Mr. Jones is always a walk-in patient (but should really be coming at least once a week), or that Mr. Smith stopped coming in because he was concerned about finances… the software knows. It is powerful enough to give you complete control over the retention process… making it much easier for the new staff that follows behind.

Collections

Collections are arguably the most important task in your practice. Without it, not much else survives. Yet InPhase has built in safety features here as well. As described earlier, all of our efforts are geared towards helping new staff or the staff of higher volume practices. With the InPhase MoneyPit, just like the BlackHole list for patients, staff are prompted for which claims require attention. Again you have complete control over the process. A certain number of days after a claim has been submitted (customizable by carrier), the computer will prompt the staff to follow up on it. As the calls are made all of the pertinent information is available on screen, any new information is keyed in the history, and a future call is scheduled based on the new information.

Security

Security has always been an important subject for many chiropractors, but never to the level of present day HIPAA. With individual user options, customizable access, viewing rights, printing rights, export rights, and an auto logoff feature, InPhase performs here as well. Add all of this up with a password protected, encrypted database and you have airtight security.
